Instructions for poster preparation and presentation

ECOS 2011 makes no scientific quality distinction between papers that are presented orally or as a poster, and the reviewers are not informed ahead of time about a paper’s method of presentation. All official email/letters of paper acceptance, which authors may need to give to their institutions, will not indicate whether the accepted/published paper is poster or oral.
We note that poster presentation have some clear advantages for the authors in that it allows a much more extensive discussion, promotion, and networking opportunity than oral presentations, which are typically allowed only 2-3 questions from the audience because of time limits, Obviously, poster sessions reduce the necessity for too many parallel sessions and thus also allow authors and others to attend more sessions of other kind.
Approximately three papers and three posters will be selected by the ECOS2011 Awards Committee (see Committees page) for awards. In addition to the quality of the contribution, posters will also be judged by clarity and esthetics of the presentation.
The poster must be prepared in English (British or American spelling) and free of grammatical, spelling and/or punctuation errors. The basic parts of a poster are listed below in the order in which they should appear:

  • Title;
  • Authors names;
  • Subject matter of the poster with numbered main headings and sub-headings;
  • Acknowledgments, (if any);
  • References;
  • Additional information (e-mail address, important web site addresses).

Posters will be presented in the Poster Area during the period shown in the program schedule, and one poster board will be allocated for each presentation. The recommended size for poster is A/0 standard (ca. 84 x 119 cm), portrait orientation. For the purpose of easier formatting authors can use the ECOS 2011 poster template prepared in two file formats:

Note that the template only includes the header and footer, so use the “insert” command in PowerPoint to place your text, figures, tables, etc.
The use of the ECOS 2011 poster template is not an absolute requirement for poster submission, but authors must still adhere to the poster dimension (A/0) and instructions presented below:

  • Proposed font types: sans serif font (Arial, Helvetica…) for title, author names and headings and a serif font (Times New Roman, Palatino, Garamond…) for body text. Serif fonts are much easier to read at smaller font sizes.
  • Proposed font size and style: Titles 90pt. bold, Authors names 54 pt. bold, Headings 48 pt, Body text 40 pt. If the Authors use ECOS_2011_Poster_Template, Title and Authors name are set in font Arial, to size of 90pt and 54pt respectively. In the poster all lettering should be at least 8 mm high, with a minimum font size of 26 pt.
  • Literature citations, figures and tables should be formatted according to the guidelines in the ECOS paper template.
  • Details on the graphs, drawings and photographs have to be comfortably seen from a distance. Minimum line width should be 1 mm. Authors should avoid the use of graphics that can be found on the Internet, since the most of Web images have only 72 dots per inch of resolution.

To reduce your effort in poster printing and transportation, the ECOS2011 Organizing Committee offer the option to print the posters in Serbia at the nominal cost of 15 Euro that you would need to pay on site by registration in hotel Park. If you choose to do that, we must receive your poster electronically (email attachment) as a high quality PDF document sent to poster@ecos2011.com by 24 June 2011. Please, organize your poster not to be larger than 20 MB.
To attract proper attention to poster sessions we plan to briefly present at the end of oral sessions a brief introduction to the forthcoming poster session topics and authors' names and photos, so please prepare a single page power point slide that contains the title and authors (with affiliations) of your poster paper, the abstract, and your photo, and bring it to the session or send it ahead of time to poster-intro@ecos2011.com.
General information about poster mounting, viewing, presentation and material removing will be presented in the near future on ECOS site.

Author Instructions

Each author and co-author who registers to the conference and pays the registration fee is entitled, in addition to participation in the conference of course, to present up to two accepted papers orally or as a poster, and these papers will be included in the conference program and proceedings. By extrapolation, two registered co-authors may submit 4 papers, etc. Authors of accepted papers who don't register and pay the fee cannot regrettably attend the conernce and their papers will not be included in the program and proceedings. To help save their own and Reviewer's time we would like to kindly request that authors of accepted abstracts who do not intend to register, pay the registration fee and attend, also do not submit papers.

Papers must be submitted electronically as original “camera-ready” manuscripts, including figures and tables and with no page numbers. Authors are requested to submit their manuscript as a Portable Document Format (PDF) file, with highest portability and quality options, preferably using conference template described below, via the submission system at the ECOS Conference website: http://papers.ecos2011.com. Optionally, authors may be requested to submit the manuscript as a Microsoft Word document file (Microsoft Word required) if the PDF file they submitted does not fulfil the publishing standard of the ECOS Conference proceedings. The manuscript length is not strictly fixed, but the recommended number of pages is 12.

Paper formatting

Authors are encouraged to use the following Word templates, in order to produce high quality typeset papers suitable for ECOS 2011 Conference Proceedings:

To download the template please use the mouse right button and save-as option. To use the template effectively read the "ECOS: Quick instruction in formatting by styles".

If the authors do not use the ECOS_Template_for_manuscripts (use of the template is not a requirement for submission) proper format of manuscript can be obtained by the following formatting instructions:

Page set up: A4 format, 21×29.7 cm, Portrait orientation, with following margins: Top to 2 cm; Bottom to 2 cm; Left to 2 cm; Right to 2 cm. Starting page of the manuscript should comprise the five mandatory sections: Paper title, Author's (or authors') name(s), corresponding affiliation(s), Abstract and Keywords. These sections are indented by 1 cm from the left and right margins of the page, while the rest of the manuscript does not content any indentations. The other information necessary for proper formatting of manuscripts, are presented in the table below and described in the PDF document ECOS_Template_for_manuscripts_Example.
